If you have two or more files in the system that you wish to group together on the digital workspace—to create a "Document Bundle" with a common denominator (e.g., invoices for payment or invoices for a specific processing date)- you can do so in DOKKA using the Link Documents function.


How to Create a link documents?

You can create bundles in two ways:

1. Manually

  • Drag and Drop: Simply drag one document and drop it onto another—or into an existing bundle.

  • Pairing Documents from Different Folders:

    • Click the three dots (options menu) on the first document and select "Pair Documents".

    • A window will open containing that document.

    • You can now search and navigate through different folders.

    • Once you find the other documents you need, drag them into the bundle window.

2. Automatically

  • When multiple documents are sent together in the same email, DOKKA automatically groups them into a bundle to indicate they arrived together.



How to Identify Link Documents?

A bundle is identified by a blue paperclip icon in the top right corner of the document thumbnail.


What is the difference between Linking and Merging?

Document Pairing (Bundling): Documents that are part of a bundle and marked with a paperclip remain independent documents. This means each document can be recorded separately to create a different journal entry.

Document Merging (Connecting): In contrast, documents that are merged create one brand-new file that includes all the pages together as a single unit.


How can I ensure files upload separately even if sent in the same email?

If you want every file to upload separately, even if they arrive in the same email, a user defined as a System Administrator can disable this feature:


Company Settings -> General -> Modules -> Advanced Settings -> Toggle off "Link documents received by email."
