When a Purchase Order (PO) doesn’t show up in Dokka, it usually relates to specific conditions set by NetSuite and the integration rules. Below are the most common reasons and how to address them.

1. PO Status Requirements

A PO must be in one of these statuses to be visible in Dokka:

  • Partially Received (D)

  • Pending Bill (F)

  • Pending Receipt (B)

  • Pending Bill / Partially Received (E)

These are NetSuite’s internal status codes, and if the PO is in a different status, it will not appear.

2. ‘Bill’ Button Availability

The PO needs to display the Bill button in NetSuite. If the button isn’t available, Dokka cannot recognize it as ready for billing.

3. Remaining Quantity on Lines

Only POs with lines that still have an unbilled quantity (where billed < qty) will appear.
If everything is fully billed, the PO is considered complete and will not sync into Dokka.

4. PO Age Limitation

By default, Dokka only pulls POs created within the last 365 days.
If you need to work with older POs, you can change this limit in your Dokka integration settings.

5. Item Setup Changes After Creation

If the item’s setup in NetSuite was modified after the PO was created, Dokka’s API will rely on the current setup, while NetSuite continues to remember the original setup.
This mismatch can sometimes prevent the PO from appearing. In such cases, review whether item configurations were altered after creation.

✅ Summary

To ensure POs appear in Dokka:

  • Confirm the PO status is supported.

  • Check that the Bill button is available.

  • Verify lines still have unbilled quantities.

  • Adjust the integration settings if the PO is older than 365 days.

  • Ensure item setups weren’t changed after PO creation.
