Manual Approval Flow



Manual approval allows you to add an approval flow for each document individually.
This method is suitable when there’s no fixed approval flow for a specific vendor, and it enables the bookkeeper to select the approvers as needed.


Defining Approvers in Advance



For each company in Dokka, you must first define which users are authorized to act as approvers.
To do so, navigate to:


Grey user icon in the top-right corner > Settings > Approvals > "Approvers List"







Note: You can only add existing users to the approver list. If the user hasn’t been created yet, follow this guide to create them first.




Setting Up a Manual Approval Flow



To set up a manual approval flow for a document:



  1. Click the arrow next to “Click to set up approval flows”





  2. Select approvers from the predefined list of approvers







  3. After adding the approvers, click the activation button to start the flow





Manual approval flows follow the order in which the approvers were added, and the progress is indicated by color codes


White – Flow not activated / Approver has not yet received the request



Orange – Awaiting approval



Green – Approved



Red - Rejected




When an approver rejects a document, they are required to provide a reason.
To view the reason for rejection, click on “SHOW DETAILS”.





Approval Flow via Basic Approver Group



Instead of adding each approver manually, you can select a predefined approver group from the company settings.

Editing an Approval Flow



Only a system admin or the creator of the flow can edit an existing approval flow.
To make changes, you must first deactivate the flow using the activation button.


Note: You cannot remove an approver who has already approved the document. In such cases, you can only add additional approvers.
